Meeting & Notes Workflow
Claude turns raw meeting transcripts or notes into structured action items, decision logs, follow-up emails, and meeting summaries. This workflow reduces the post-meeting overhead of capturing and distributing notes from hours to minutes.
Providing a Transcript or Raw Notes
Claude works with whatever format your notes are in:
- Verbatim transcript (from Otter, Zoom, Teams, etc.): Paste the full transcript. Include speaker labels if available — "[John]:" or "[PM]:" helps Claude attribute decisions and action items to the right person.
- Manual notes (partial): Paste even rough notes. Introduce them: "These are rough notes from a 45-minute product planning meeting. They are incomplete — focus on what's captured."
- Multiple formats combined: If you have both a transcript and your own notes, combine them: "Transcript is below. My annotations in [BRACKETS] are additional context."
Always tell Claude the meeting's purpose: "This was a sprint planning meeting." / "This was a client requirements call." Context helps Claude identify what counts as an action item vs background discussion.
Extracting Action Items
Claude can extract structured action items with owner and deadline attribution:
- "Extract all action items from this transcript. For each, identify: the action, the owner (who is responsible), and the deadline if one was mentioned. Format as a table."
- "Identify any implicit commitments — things someone said they would do without it being explicitly framed as an action item."
- "Flag any action items where the owner is unclear — these need follow-up."
Prompt for a specific output format if you have a task tracker: "Output action items in this format: [Action] | [Owner] | [Due Date] | [Priority: High/Medium/Low]."
Summarising Decisions Made
Decision logs are often more valuable than action item lists — they capture what was agreed, not just what was assigned:
- "List every decision made in this meeting. For each: what was decided, what alternatives were considered, and what reasoning drove the decision (if mentioned)."
- "Identify any decisions that were deferred — topics discussed but not concluded, and what information is needed to decide."
- "Were there any disagreements or unresolved tensions in the meeting? Summarise them."
Drafting Follow-Up Emails
After extracting action items and decisions, ask Claude to draft the follow-up communication:
- "Draft a follow-up email to all meeting attendees. Include: a one-paragraph summary of what was discussed, the decision log, and action items with owners. Professional tone. Under 300 words."
- "Draft a follow-up email to [client name] confirming what was agreed. No internal discussion details — external-facing only."
- "Draft a Slack message (not an email) to the team channel with just the action items and owners. Short and scannable."
Always review and edit the follow-up before sending — Claude may include details that should stay internal, or miss context that the recipients need.
Agenda Prep: Using Claude Before Meetings
Claude is equally useful before meetings as after them:
- Prepare an agenda: "I'm running a 30-minute stakeholder update. Topics: [A, B, C]. Draft a structured agenda with time allocations."
- Prepare questions: "I'm meeting a potential vendor to evaluate [product]. What questions should I ask to assess fit for [my use case]?"
- Brief yourself: "Summarise the key points from our last meeting on this topic [paste previous notes]. What are the open items going into the next meeting?"
- Anticipate objections: "I'm presenting [proposal]. What objections should I expect and how should I respond to each?"
Checklist: Do You Understand This?
- Provide the transcript or notes plus meeting purpose — context helps Claude identify what counts as an action item
- Use speaker labels in transcripts so Claude can attribute action items and decisions to the right person
- Ask separately for: action items (structured table) + decision log + deferred items — these are distinct outputs
- Draft follow-up communications from Claude but review before sending — check for internal details that shouldn't go external
- Use Claude pre-meeting for agenda prep, question generation, and briefing from previous meeting notes
